What to know when hosting a large family reunion

Whether you’re expecting a dozen cousins or several hundred relatives, planning a meaningful, memorable and fun family reunion is a challenge. It takes time, organizational skills and a sense of humor.

Here are some tips we’ve learned after hosting numerous family reunions.

Recruit and Delegate

No one person can manage all aspects of a family reunion. Surround yourself with capable and enthusiastic committee members. As the chairperson, you’ll oversee the event, handle communications between committees, coordinate the volunteers—and occasionally play peacemaker.

For small events with 20 or 30 people, you’ll need only a few volunteers. Large events require more volunteers and committees.

Typical Reunion Jobs / Positions

Lodging liaison: finds reunion accommodations and negotiates group discounts

Food director: works with the caterer or handles the potluck

Correspondence officer: communicates with family members

Entertainment director: organizes activities for a variety of ages

Reservations officer: tracks who’s coming

Mementos procurement: gathers mementos for display

Welcome committee: makes name tags, agendas and signage; mans registration; helps people mingle

Finance director: handles the reunion checking account, maintains the budget, makes purchases

Budgeting

Try to give your family members plenty of lead time to budget for the trip and expenses. Generally, 12 to 18 months is recommended, but everyone’s family is different.

Give an estimate on price in the first communication effort.

In a subsequent update, asking each family to pitch in a set amount of seed money is a good way to offset startup costs. Get more dough with fundraising projects, and include financial updates in mailings.

 

Reviews

This is the second summer our family has rented this vacation home and it is a dream. Our seven kids (ages 1.5 to 7.5) ask why we can't just move in forever! Many memories have been made - night swims in the pool, wine and puzzles on the expansive dining table, family dinners out on the patio, baseball in the side yard, reading and napping on the couch and cousin breakfasts on the barstools. The bedrooms are wonderfully appointed and provide a cozy escape. Whatever you desire, this house has it! Meg and Jorge are gracious hosts and a pleasure to work with. We'll be back next year!

Excellent Summer Vacation - Summer 2019 - Our family had a fantastic time at the Dahlia house in July. Dwell Vacations is a superb property management company to work with. We highly recommend them. Both Meg and Jorge are excellent communicators and extremely thorough with the entire process. Our large family of 34 fit perfectly in Dahlia. We even had room for many more. The house is spectacular. Every amenity you could need. The house is very clean. The beds are very comfortable and there is something for everyone at this home. The kids and adults loved the pool, hot tubs, bocce ball and basketball court. Indoor they played pool and ping pong and everyone loved the theater room. We were so fortunate to have terrific weather. Nearby is wine tasting, breweries and shopping. I would highly recommend this property to a large group. We hope to return with even more family members and create new memories in the near future.

Meg at Dwell Vacations was able to accommodate our extended thirteen member family at Sundrop at the last minute after the first vacation home we had booked through a different owner got cancelled two days before our designated arrival date. Even on such short notice, the team at Dwell had a beautiful Thanksgiving table set for us and a wonderful welcome gift box of local treats waiting when we arrived. Sundrop was the perfect vacation setting not only for us to celebrate Thanksgiving and my father-in-law's 91st birthday, but more importantly to relax together as a family ranging from ages 5 to 91. Thankful we had the opportunity to stay at Sundrop and work with Dwell Vacations.

We stayed here with a large group of friends coming together for a celebration of a dear friend's life. The venue could not have been better for the weekend, and the proprietors were extremely helpful and accommodated all of our needs. It's an amazing location that is so easy to get to, but it feels like you are away from it all. We are trying to figure out how we can go back! I would highly recommend the Apple Blossom resort.
